Position SummarySeeking Administrative Assistant to maintain front desk operations and assist with general office tasks. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness and communication. The position will report to the Burlingame main office 3-4 days per week and the San Leandro office 1-2 day per week, 8:30 am – 5 pm.

Daily Tasks - Burlingame

  • Mail
  • Open, scan, and file mail
  • Receive and distribute packages
  • Ship packages
  • Restock
  • Kitchen
  • Office supplies

Weekly Tasks - Burlingame

  • Prepare list and receive delivery of groceries
  • Review cleanliness of entire office and tidy as needed
  • Conference rooms
  • Kitchen, including inside all refrigerators
  • Immediate exterior of building
  • Restrooms
  • Make notes for items which the cleaning crew needs to address

Weekly Tasks – San Leandro

  • Prepare list and receive delivery of groceries
  • Restock
  • Kitchen
  • Office supplies
  • Bathroom supplies
  • Review cleanliness of entire office and tidy as needed
  • Conference rooms
  • Breakroom, including inside the refrigerator
  • Restrooms
  • Make notes for items which the cleaning crew needs to address

People Operations Support Tasks

  • Schedule meetings and manage calendar for CEO
  • Assist CEO with event and meeting planning and other requests as needed
  • Coordinate travel
  • Welcome new hires
  • Prepare workspace
  • Prepare welcome gift
  • Instruct on alarm usage
  • Build content for Lunch and Learns
  • Build content for, schedule, and plan social events
  • Holiday Party
  • Summer events
  • BBQs
  • Happy Hours

As Needed Tasks

  • Receive and direct:
  • Vendors
  • Visitors
  • Prepare for meetings and events:
  • Room setup
  • Supplies and food
  • Clean up
  • General office maintenance including but not limited to:
  • Maintain the copier and shredder
  • Manage thermostat settings
  • Supply room inventory and organization
  • Review swag closet/marketing materials
  • Prepare order list as needed
  • Receive and distribute IT equipment
  • Prepare and ship gifts for employees, clients, etc.
  • Maintain records of receipts
  • Mail Holiday cards

Qualifications: 

  • Education/Experience - High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.
  • Computer Skills: Strong Microsoft Office and Google Workspace (ne’ G Suite)
  • Language Ability: Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.
  • Reasoning Ability: Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving several concrete variables in standardized situations.
